Terms of Service

1. Acceptance

By using MyCoordinated AI you agree to these Terms. If you do not agree, do not use the service.

2. Eligibility

You must be at least 16 years old to use MyCoordinated AI. If you are using the service on behalf of an organisation, you represent that you have authority to bind that organisation to these Terms and that the organisation accepts them.

3. Authorised Use

MyCoordinated AI is an AI-powered document assistant for professional and business use. You may use the service only for lawful purposes. You must not upload content that you do not have the legal right to process, store, or share.

4. Acceptable Use

You agree not to:

  • Upload content that is illegal, defamatory, or infringes third-party rights
  • Attempt to reverse-engineer, scrape, or disrupt the service
  • Share account credentials with unauthorised individuals
  • Rely solely on AI-generated answers for safety-critical or legally binding decisions without independent verification

5. Service Limits

The service includes the following plan-based limits. The figures below are accurate as of the "Last updated" date above and may change with reasonable notice; current pricing is published on our pricing page.

Free

  • 5 messages lifetime (no monthly reset)
  • 10 MB per file upload
  • OCR not included

Pro

  • 2,000,000 tokens per calendar month
  • 100 OCR pages per calendar month
  • 25 MB per file upload
  • 5 GB document storage

Team

  • 8,000,000 tokens per calendar month (shared across the workspace)
  • 500 OCR pages per calendar month (shared)
  • 50 MB per file upload
  • 50 GB shared document storage
  • Up to 5 users

Business

  • 25,000,000 tokens per calendar month (shared)
  • 2,000 OCR pages per calendar month (shared)
  • 100 MB per file upload
  • 250 GB shared document storage
  • Up to 10 users

Accepted file types: PDF, DOCX, XLSX, TXT, and MD. Uploads in other formats may be rejected.

Top-ups: Additional token packs can be purchased for €4.99 each when a plan's monthly token allowance is reached. Top-up tokens are applied to your account on purchase and consumed as you use the service.

Once a monthly cap is reached, the affected feature is paused until the next billing period (or, for tokens only, until a top-up is purchased).

6. Billing and Subscriptions

Plans

The Free plan is available without payment, subject to the limits in Section 5. The Pro, Team, and Business plans are paid subscriptions billed in advance on a monthly basis at the prices published on our pricing page.

Auto-renewal

Paid subscriptions renew automatically each month using the payment method on file until cancelled. By subscribing you authorise our payment processor (Stripe) to charge the recurring amount on each renewal date.

Top-ups

When a plan's monthly token allowance is exhausted, you may purchase a one-time token top-up for €4.99. Top-ups are charged immediately and applied to your account on purchase.

Cancellation

You may cancel a paid plan at any time from your account dashboard. Cancellation takes effect at the end of the current billing period: you retain access to your paid features through the end of that period, and you will not be charged again. Free plan accounts can be closed at any time.

Refunds

Except where required by applicable law, subscription fees and token top-up charges are non-refundable, including for partial billing periods, unused tokens, or unused OCR pages.

EU 14-day right of withdrawal — waiver

If you are a consumer in the EU or EEA, you would ordinarily have a 14-day right of withdrawal under Directive 2011/83/EU on consumer rights. MyCoordinated AI is a digital service supplied without a tangible medium, and performance begins immediately on activation of your subscription or token top-up. By starting a paid subscription or purchasing a top-up, you expressly consent to immediate performance and acknowledge that you lose your right of withdrawal once performance has begun, in accordance with Article 16(m) of Directive 2011/83/EU.

Failed payments

If a renewal payment fails, we may suspend access to paid features until payment succeeds. Repeated failure may result in downgrade to the Free plan.

Price changes

We may change subscription prices with at least 30 days' notice by email or in-app notice. Changes take effect at your next renewal; if you do not accept the new price, you may cancel before that renewal.

7. AI Output Disclaimer

Responses generated by MyCoordinated AI are produced by large language models and may contain errors or omissions. You are responsible for independently verifying any information before acting on it. MyCoordinated AI is not liable for decisions made based on AI-generated content.

8. Data and Documents

You retain ownership of all content you upload. By uploading, you grant MyCoordinated AI a limited licence to process that content solely to provide the service. You are responsible for ensuring uploaded content complies with your organisation's internal policies and applicable regulations.

9. Service Availability

The service is provided on an "as-is" basis. We reserve the right to modify, suspend, or discontinue the service at any time with reasonable notice where possible. We do not guarantee uninterrupted availability.

10. Limitation of Liability

To the fullest extent permitted by law, MyCoordinated AI shall not be liable for any indirect, incidental, or consequential damages arising from use of the service, including reliance on AI-generated outputs.

11. Account Termination

We reserve the right to suspend or terminate accounts that violate these Terms, engage in abuse, or present a security risk, without prior notice where necessary.

12. Changes to Terms

We may update these Terms from time to time. Continued use of the service after changes constitutes acceptance of the revised Terms.

13. Governing Law

These Terms are governed by the laws of the Republic of Latvia. Any disputes arising from or related to these Terms or the use of MyCoordinated AI shall be subject to the exclusive jurisdiction of the courts of the Republic of Latvia. If you are a consumer within the EU, you may also have rights under the laws of your country of residence.
